Association Operations Manager

Position Summary


The Polk County Builders Association (PCBA) is seeking a highly motivated, results-driven professional to serve as its Association Operations Manager.


This Association Operations Manager is responsible for the day-to-day operations of the PCBA while working closely with the Executive Board and Board of Directors to advance the Association’s mission, priorities, and strategic objectives. 


PCBA exists to serve two primary purposes:

    

  1. Governmental Advocacy- Protect and advance the interests of builders, associates, homeowners, and the building industry by monitoring legislation, regulations, policy, and governmental actions that affect the industry and advocating for responsible growth and housing development.


  1. Builder and Associate Relationships- Strengthen relationships among builders and associate members while creating meaningful opportunities for networking, education, business development, and member engagement.


The position is more than an administrative role. The successful candidate will be a proactive leader who takes ownership, builds relationships, identifies opportunities, manages people and priorities, and delivers measurable results.


The ideal candidate is organized, assertive, confident, competitive, and highly professional, with excellent judgement, communication, management, and relationship-building skills. The individual must demonstrate unquestionable honestly, integrity, and trustworthiness.


Some travel and occasional physical activities related to meetings, events, and event setup are required.


Essential Job Functions


  • Manage the day-to-day operations of PCBA and assist in the operations of the PCBA Education Foundation.


  • Execute the decisions, policies and priorities established by the Board and Executive Board.


  • Manage projects, objectives, deadlines and operational priorities and regularly report progress to association leadership.


  • Coordinate meetings, events, educational programs, fundraising activities and member initiatives.


  • Support the Board, Councils, Committees, and Association leadership as needed.


  • Maintain effective organizational policies, procedures, records, and administrative systems.


  • Identify and implement opportunities to improve operations, increase revenue, strengthen member value, and grow the Association.


  • Represent the PCBA professionally within the building industry and community.


Membership, Communication & Business Development


  • Drive membership recruitment, engagement and retention efforts.


  • Develop and maintain strong relationships with prospective and existing members, sponsors, community partners, and industry stakeholders.


  • Identify opportunity to increase sponsorships, non-dues revenue, partnerships, and member benefits


  • Oversee marketing, communications and public relations efforts.


  • Develop strategies and initiatives that increase member participation and demonstrate the value of the PCBA.


Financial & Organizational Administration


  • In cooperation with the Treasurer and the Finance Committee, develop and recommend  the annual budget  and manage Association operations within the approved budget.


  • Prepare and present financial statements and supporting documentation to the Finance Committee, Executive Board and the Board of Directors.


  • Maintain accurate financials and organizational records and ensure appropriate internal procedures are followed.


  • Ensure required organizational filings and compliance with applicable agencies, including Florida Division of Elections, Florida Department of Revenue, Florida Division of Corporations and Internal Revenue Services.


Governmental Affairs & Advocacy


  • Serve as a primary staff liaison for PCBA’s governmental affairs and advocacy efforts.


  • Build and maintain professional relationships with elected officials, government staff, agencies, and other key community and industry stakeholders.


  • Monitor proposed legislation, ordinances, regulations, policies, and governmental actions that may affect builders, developers, housing, and the construction industry.


  • Identify emerging issues and communicate relevant developments to PCBA leadership, committees, and members.


  • Work with the Board and appropriate committees to develop and advance PCBA’s legislative and regulatory priorities.


  • Represent PCBA’s interests before local government and there public bodies when authorized by the Board. 


  • Coordinate advocacy efforts, including meetings with elected officials, governmental presentations, industry communications, and grassroots engagement.


Minimum Qualifications


  • Associate’s Degree
  • Three years of relevant experience in association or nonprofit operation, administrative, marketing, communication, public relations, political science or a related field.
  • Proficient in Quickbooks Online (QBO)
  • Strong technology proficiency; experience with GrowthZone or similar association management software is a plus.
  • Experience with Wordpress or similar website management platforms.

Performance-based incentives may be awarded based upon established goals and measurable results.
